For personal information collected through The Travel Brief landing page, Bartlett’s Travel Ltd is responsible for deciding how and why that information is used.
Information we collect
When you access The Travel Brief or contact us, we may collect your name, email address, mobile number, marketing preferences, information you choose to provide about your travel requirements and a record of our communications with you.
Saving your Travel Brief on your device
The online Travel Brief saves your contact details and draft answers in the browser storage on the device you use. This allows you to leave and continue later on the same device and browser. After you submit the brief, a read-only copy of your answers is also saved there for you to review. This information remains on that device unless you clear the browser’s site data.
How we use your information
We may use your information to provide access to The Travel Brief, respond to your enquiry, contact you about travel services you have expressed an interest in, record and manage your enquiry within the PTS customer relationship management system, provide travel-planning and booking services when requested, send marketing communications where you have given permission, and meet our legal, regulatory and record-keeping obligations.
We will only use your personal information when we have a lawful reason to do so. This may be because you have asked us to provide information or services, because it is necessary to fulfil a contract, because we have a legitimate business reason or because you have given your consent.
Marketing communications
We will only send you marketing communications by email or WhatsApp where you have agreed to receive them. You can withdraw your permission at any time by using the unsubscribe option in an email, asking us to stop through WhatsApp or emailing hello@bartlettstravel.co.uk.
Withdrawing from marketing will not affect communications that are necessary to respond to an active enquiry or manage a booking.
Who we share your information with
Where necessary, your personal information may be shared with Merlin Travel Group Ltd, Protected Trust Services, travel suppliers involved in providing an enquiry or booking, technology and customer-management providers supporting our business, and professional advisers, regulators or authorities where required by law.
Forms on The Travel Brief website are processed by Formspree so that the information you enter can be delivered to Bartlett’s Travel Ltd and made available in our Formspree account.
We only share information when it is necessary and appropriate. Organisations involved in fulfilling a travel booking may have their own responsibilities and privacy policies governing how they use your information.
How long we keep your information
We keep your information only for as long as it is needed for the purpose for which it was collected and to meet any legal, regulatory, accounting or reporting obligations.
Information submitted through the website may be retained in Formspree and in our business email until it has been reviewed and, where appropriate, securely recorded in the PTS CRM system. We will delete information from Formspree and email when it is no longer needed, subject to any legal or regulatory retention requirements. If you withdraw your marketing permission, we may retain a minimal record of that request to ensure that we do not contact you for marketing again.
How we protect your information
We take reasonable steps to keep your personal information secure and restrict access to people and organisations that have a legitimate need to use it. Although we take appropriate precautions, no internet or email transmission can be guaranteed to be completely secure.
International transfers
Some travel suppliers or technology providers may process personal information outside the United Kingdom. Where this happens, appropriate safeguards will be used where required by data-protection law.
Your rights
Depending on the circumstances, you may have the right to ask for a copy of your personal information, have inaccurate information corrected, ask for information to be deleted or its use restricted, object to certain uses, withdraw your consent, or request the transfer of your information where applicable.
